Chapter 16

Meeting & Reporting system for materials management

We hate meetings and reporting and we are trying to lean on this area but always a failure because meetings and reporting are not reducing but increasing …

Reason for companies are having more and more meetings / reporting is because –

  1. Managers are stupid enough, personally they do not pay attention to details, they do not know what happened on operations but just get the information from meetings and reporting to be prepared for answering their boss’s questions …  which create too much extra cost and head counts;

  1. Managers are not making any decisions and they are just meeting for meeting itself. The meetings are becoming more and more, longer and longer, less and less efficiency without any decision made or follow up actions.

  1. People love meetings because they think that this is their job and they will be panic very much every day if there is no meetings, and that’s the reason people are creating meetings on purpose. At the same time, by having meetings, which the more people to attend, the better because they will demonstrate very good feeling of achievements.

  1. People like meetings because they do not need to work during the meeting period and the most important thing is during the meetings they do not to think about anything just to enjoy the leisure and relaxation. They are eager for meetings as long as there is.

But anyway, meeting / report is still required although we do need to control the frequency and attendees and limit the times. For supply chain materials management, because too much activities are happening every minute, we need to have some meetings. Below chart 16-1 our practices, which we have been doing optimization …

With regards the reporting system, same as meetings, the less the better but somehow we still need certain numbers of reporting, below chart 16-2 is showing the required 30 reports for daily operations purpose.

The easiest way to check the effectiveness of reports is to see whether there is any feedback after you send out the report to receivers or as reporter, you just stop sending the report and if there is always no any feedback, this report could be cancelled immediately.
